I. Mission Statement

The mission of the Life University Office of Advancement is to inspire and steward meaningful relationships that engage and support students, alumni, faculty, staff, and friends. We elevate                            engagement, strengthen connections, and foster philanthropy in our commitment to serve humanity through Lasting Purpose: to give, to do, to love, to serve.

II. Motto

You are the foundation of our past, the vibrancy of our present, and the strength of our future.

III. Purpose

Fundraising plays a vital role in student life at Life University, and we value the significant impact that students have on our campus as well as in the broader local and global communities. To ensure            that student fundraising efforts are conducted fairly, responsibly, and in alignment with the values of Life University, the following guidelines and approval processes have been established.

IV. Definition

Fundraising – Any activity, whether on or off campus, that aims to raise funds or collect materials through donations or the direct sale of goods or services, where all or part of the funds collected could     qualify for charitable deductions or tax receipting per Internal Revenue Code Section 501(c)(3) or where a charitable deduction should be claimed regardless of if the fundraiser intends to acknowledge       charitable deductions, donations, tax receipts or not.

Advancement  – A strategic, integrated method of managing relationships to increase understanding and support for educational institutions. It brings together alumni relations, communications,                 marketing, and fundraising (development) to serve the University’s mission.

Alumni – Former students, including graduates and non-graduates who earned credit.

Development – The comprehensive, proactive process of building relationships, engaging constituents, and securing philanthropic support.

Grant – A financial award from a government agency, foundation, or other organization, usually for a specific program with defined eligibility and reporting requirements.

Crowdfunding – The practice of raising capital for a cause by soliciting small, individual financial contributions from a large number of people, typically via the internet and social media.

Peer to Peer Fundraising – A strategy where supporters, rather than the organization itself, raise money on behalf of a nonprofit by leveraging their personal networks.

Cash – A form of asset used in outright gifts, which are irrevocable transfers of assets to an institution in the current reporting year.

Pledge – A formal, documented promise to donate a specific amount of money or resources to a non-profit organization at a future date.

In-kind – Non-cash contributions of tangible personal property, equipment, or other materials. They are recognized as a type of outright gift and must be directly related to the organization’s mission to be accepted.

Constituent – An individual, household, or organization that has a relationship with the University.

Solicitation – The act of asking for a gift, covering both cash and non-cash items to support a charitable organization or purpose.

V. Development Office

All fundraising on behalf of the University must go through the Office of Development, University Advancement Division, before being approved.

The following guidelines are applicable to all student fundraising activities:

1.    Prior to beginning any fundraising activity, students must complete an event application on Engage or meet with a member of the Development Department. To meet with a member of the                   Development Department, please email advancement@life.edu with your fundraiser proposal.

2.    All fundraisers must include a disclosure statement regarding the charitable deductibility of a constituent’s donation (if one exists). If no charitable deductibility is to be acknowledged, a                        disclosure statement must be included indicating such in all fundraiser communications and fundraiser events.

3.    To apply for approval to hold a revenue-generating fundraiser, students must have an approved University fund number. Non-monetary fundraisers, such as charitable drives to collect food                 or clothing, do not require a fund number but still require a disclosure statement on charitable deductibility.

4.   Student fundraisers working under the jurisdiction of Student Affairs are required to maintain accurate records of all funds raised and expended. Documentation for each purchase must include a        merchant-issued or non-University document that details the relevant information, such as item descriptions, quantities, amounts, total charges, and the merchant’s name and address (e.g.,                sales receipts, original invoices, packing slips, credit receipts, email order confirmations, etc.).

5.   The University prefers cashless procedures. If cash or checks are collected, they cannot be used without depositing them into a University account first. All monetary donations must be                      managed  by a development staff member and go through the Development Department. This requirement does not apply to student clubs working under the jurisdiction of Student Affairs.

6.    Students, faculty, staff, alumni, friends, and other constituents are not permitted to sign contracts on behalf of the University. Any individual planning to work with outside vendors or                             entertainment must submit the relevant contract to the Development Department, University Advancement Division or the Office of Student Affairs.

7.    Solicitation of off-campus organizations or individuals must be approved by the Office of Development, University Advancement Division.

8.    Any monetary gifts received through a fundraiser or event not under the jurisdiction of Student Affairs must be deposited into a University account and properly receipted by the Development               Department.

9.    The name of the fundraiser and the purpose of the fundraiser must be clearly visible during all fundraising events.

10.  All on-campus and off-campus fundraising activities must adhere to all policies outlined in the Student Handbook and U.S. law, including 501(c)3 nonprofit organization policies and procedures.

11.  All grant applications must be written by a member of the Development Department. To submit a grant on behalf of any University program, club or organization, contact the Office of University          Advancement, Development Department at advancement@life.edu

Internal Communications Policy

The Marketing Department is responsible for publishing internal communications to the Life University (Life U) community. To ensure that Internal Communications are both effective and efficient vehicles to share important and/or critical information with the Life U community, the University must be strategic regarding both the content and frequency of this method of communication. Life U takes steps to ensure that you are not overrun with messages from us. Your student and or faculty/staff email address is often the only way we can convey important messages to you. It is advisable that you check your email frequently and that you read your Life U News & Events newsletters and Daily Life U Wires as they come out.

Daily Life U Wire

Priority information targeted to a specific audience (students, faculty, staff) is sent immediately or scheduled for an appropriate date determined by the Marketing Department. This type of communication is primarily for urgent and/or high-priority announcements, and the decision about the use of this type of communication is solely at the discretion of the Marketing Department. Submissions must be sent to lifenews@life.edu.

Life U News & Events/FacStaff News & Events

Online “articles” that appear on the Living.life.edu website (a one-stop shop for all news, events, press releases, podcasts, blogs, and more for the University) and are highlighted in a weekly email to the two audiences on Monday morning (or Tuesday if there is an observed Monday holiday).
