Purpose: The purpose of the Colleague Permissions Requests policy is to ensure the standardization of all Colleague software permission requests. This initiative is driven by both business necessities: compliance and performance. Having a standard for Colleague permissions requests will: ensure data integrity and security, reduce liability and vulnerabilities both internal and external to the University, satisfy compliance standards, and enhance accurate and efficient use of University technology resources.

Scope: This policy includes all staff and faculty accessing LIFE University Colleague enterprise system.

Definitions:
Role-based security – Software security permissions and access assigned to an individual user based on their role or job responsibilities.
Process-based security – Software security permissions and access assigned to an individual user based on their intended functionality within the software. (Ex. Registering students)

Policy statement
Colleague role-based security permission will be assigned to each individual accessing data through the Colleague software system according to the necessity outlined in their job responsibilities or duties related to the use of Colleague software. This policy details that of modifying existing Colleague permissions as well as initiating Colleague permissions for new hires. There are no exceptions, restrictions, or conditions to this policy or circumstances/situations where Colleague permissions will be assigned to a new user or existing permissions modified in which this procedure has not been followed unless explicitly detailed in writing by the Vice President of Operations. This includes future modifications to this policy.
Procedure(s)
Anyone that wishes to initiate or modify current access to Colleague are required to fill out the Colleague Permissions Requests digital form. This form will be published on the following platforms: IT Help Desk webpage, IT new hire technology requirements document, and LIFE University Policies publication.
