PURPOSE: The purpose of this policy is to ensure courses are regularly and effectively revised to maintain instructional quality, align with institutional goals, and respond to data-driven insights, student feedback, or changes in third-party resources.
SCOPE: This policy applies to all academic courses at the institution and governs the processes for scheduled and unscheduled revisions, including those driven by performance metrics, factual inaccuracies, or third-party content updates.

Course Revision Policy
POLICY STATEMENT
Courses scheduled for revision in the regular, three-year cycle are part of the Institutional Effectiveness plan. The revision cycle may be accelerated based on data from the course, including course completion, student satisfaction, or individual course component participation. Revision acceleration may also occur due to documented errors of fact. The revision cycle may also be adjusted if the inclusion or removal of third-party resources alters the course as written

COURSE REVISIONS ON A SCHEDULED CYCLE
Courses scheduled for revision in the regular, three-year cycle are part of the Institutional Effectiveness plan.
COURSE REVISIONS REQUIRED BY DATA ANALYTICS OR ERRORS OF FACT
Courses requiring major revision due to performance, including low course completion or SRI feedback, based on a minimum of two quarters worth of data, will be immediately scheduled for major revision.
Courses requiring major revision due to errors of fact will also be scheduled immediately for major revision.
If the revision list requires prioritization, the CETL Director, in consultation with the College Dean or designee, will make the final determination.
COURSE REVISIONS REQUIRED BY THIRD-PARTY RESOURCE CHANGES
Courses requiring revision due to third-party resource changes are part of the CETL production schedule and agreed to by CETL and Academic Affairs.
Any revisions due to third-party resource changes must be approved in advance by the Director of CETL and the College Dean.
COURSE REVISION PROCESS
- Once instructional designers receive the course revision list for the following quarter, they will review course evaluation data, including:
- Data analytics for the course (PowerBI dashboard)
- Course completion (PowerBI dashboard)
- Course component participation (Blackboard reporting)
- The instructional designer conducts an audit of the existing master course shell.
- Using course evaluation data and results of the course audit, the instructional designer develops a list of recommendations for the master course.
- The instructional designer will request a SME.
- The curriculum committee will nominate an internal credentialed subject matter expert.
- The Dean or designee will approve the nominated faculty member as an internal credentialed subject matter expert for the course revision.
- The CETL Director will initiate the course revision in Curriculog and schedule curriculum committee to review subject matter expert submissions.
- Subject matter experts are responsible for working within their committee to develop a course package, which includes:
- Course description
- Course objectives
- Learning objectives
- Programmatic accreditation requirements (if applicable)
- Certification requirements (if applicable)
- Integration of 3rd party resources (if not already included as part of University contracts per program/course)
- Course content suggestions
- Discussion forum prompts
- Assignments
- Assessments
- Specific connectivity with other courses, whether prerequisite, co-requisite, or preferred sequencing
- The SME reviews the existing master course, as well as relevant data and results from the audit, and works with the instructional designer to revise the existing course shell.
- Curriculum committees are responsible for a learning outcomes plan and an assessment plan as part of the deliverable and approval process.
- The Dean or designee will review the course to approve per course level, CLO and SLO alignment, and distribution of student deliverables throughout the course term.
- The master course shell is published for instructor training.
- Faculty may add supplemental resources to their course shell. Faculty may also make minor modifications to their course as needed.
- While the core structure, content, and basic assessments should remain unchanged, faculty are invited to make minor modifications to in-class activities and assignments, where necessary, to meet the needs of students.
- Examples include using an alternative engagement activity or assignment, the sequence of lectures/in-class activities, and minor modifications to assessments based on in-class emphasis from student understanding of material, etc.
- Any substantive (non-minor) modification requests to required resources, assignments, assessments, or labs, must be approved by a Lead Instructor or Assistant Dean.
- A master shell will be held by CETL as a guide and resource with all required elements.
- A post-launch assessment is completed after two quarters.
- The assessment includes a faculty-led debrief with student outcomes data.
- The debrief must include any required revisions for underperforming course elements.
- The debrief is provided to the Dean and CAO for final review.
