PURPOSE: To provide specialized, academic level advising to all Life University students at the undergraduate, graduate, and Doctor of Chiropractic levels. To ensure an effective and efficient transition process as students advance between academic levels and programs. 

SCOPE: This policy establishes the framework for comprehensive, academic level advising services for undergraduate, graduate, and Doctor of Chiropractic students, including those transitioning between programs or enrolled in multiple academic levels, to support academic planning, persistence, retention, and degree completion

POLICY TITLE


 Academic Advising Policy 

POLICY STATEMENT


 All students will be assigned an Academic Advisor based on their academic level— Undergraduate (UG), Graduate (GR), or Doctor of Chiropractic (DC). Advisors will provide guidance from matriculation to graduation and collaborate to ensure seamless support for dual- enrolled students and those transitioning between programs. 

Students transitioning from one academic level (UG, GR, or DC) to another will receive 

collaborative advising support during the transition period. They will remain with their current Advisor until the formal reassignment to the new Advisor is completed for the next academic level. 

Dual-enrolled students will be assigned two Academic Advisors—one for each academic level. Both Advisors will support the student in academic planning, advisement, and registration to ensure continued progress toward degree completion in each program. If a student disenrolls from or is deactivated in a specific program, the Advisor assigned to that academic level will be unassigned accordingly. 

Academic Advisors will manage and report on student progress as part of student achievement outcomes, including student persistence, student retention, graduation, academic performance, and utilization of student support services. 

PROCEDURE(S)


 Students must apply for admission to each program of interest. Enrollment will admit applicants who meet admission requirements to the University and then the unique program. Enrollment is not permitted to accept students into multiple programs simultaneously. Admitted students will then be assigned an Academic Advisor to provide course registration support and approval. 

New Student 

  • Applicant is “moved to student”, advisor is assigned. 
  • Advisor makes initial contact within 48 hours. 
  • Advisor schedules a meeting to review initial academic and career goals. 
  • Advisor completes initial program review based on academic and career goals.
    • Identifies available courses for each term. 
    • Plan first-year courses for the full academic year. 
    • Confirms student access to their schedule. 
  • Provides information for the Online Bookstore (eCampus.com), ALC, and other appropriate services. 
  • Advisor reaches out to check-in two weeks prior to scheduled Orientation. 
  • Advisor greets students at Orientation. 
  • Advisor connects with students during Week 1 to discuss any add/drop needs. 
  • Advisor monitors progress at mid-term point.
    • Advisor connects with students after mid-term grades are posted.
      • Sends kudos to all students with a B or better. 
      • Sends motivational reminder to students with a C, offers support as needed. 
      • Meets with any student below a C to coordinate tutoring and other support to include collaboration with course faculty as well as referral to the Academic Learning Center. 
  • Advisor manages attendance or referral alerts received for each student. 
  • Advisor documents all interactions in CRMAdvise. 

Continuing Student 

  • In week 8, Advisor schedules a meeting to review progress toward academic and career goals.
    • Advisor revisits initial program review based on academic plan and long term educational goals. 
    • Confirms planned courses for the next quarter. 
    • Reminds students of contact information for Bookstore, ALC, and other appropriate services. 
  • Advisor connects with students during Week 1 to discuss any add/drop needs. 
  • Advisor monitors progress at mid-term point.
    • Advisor connects with students after mid-term grades are posted.
      • Sends kudos to all students with a B or better. 
      • Sends motivational reminder to students with a C, offers support as needed. 
      • Meets with any student below a C to coordinate tutoring and other support, to include collaboration with course faculty as well as referral to the Academic Learning Center. 
  • Advisor monitors progress at conclusion of each quarter. 
  • Advisor connects with students after final grades are posted
    • Sends kudos to all students with a B or better. 
    • Request meeting with any student below a B to coordinate tutoring and other support for future quarters. 
  • Advisor discusses additional educational options within each College as applicable. 
  • Advisor manages attendance or referral alerts received for each student. 
  • Advisor documents all interactions in CRMAdvise. 

Program Transition 

During a student’s final term in their current program, a pre-transition meeting is scheduled involving the current Academic Advisor, the incoming Academic Advisor, and the student. This meeting serves to ensure all parties are informed of the students’ academic progress and prepared for the transition to the new academic level. 

Following the meeting, the current Academic Advisor completes a Transition Summary Sheet. This internal document includes relevant advising history, academic performance, transfer credit information, declared career interests, and any flags or support needs requiring attention by the incoming Advisor. The transition summary sheet must by uploaded to CRMAdvise. 

Prior to registration for the new academic level, the incoming Academic Advisor initiates contact with the student. This outreach includes personalized communication and the scheduling of a first appointment to support the student’s entry into the new academic program level. 

For a period following the transition, both Advisors maintain collaborative communication. The current Academic Advisor remains accessible and is copied on relevant student communication to ensure continuity and clarity throughout the advising handoff. 

Dual-Enrolled Students 

If the student is dual-enrolled, as defined in the Dual Enrolled Students Degree Completion Progress Policy AS.004, they will participate in the pre-transition process. However, they will remain assigned to both Academic Advisors—one for each academic level.
