1. Purpose 

This policy exists to manage the distribution of and outline the responsibilities of employees who require keys to perform their employment responsibilities.

This policy applies to any and all employees who have been issued university keys.

3. Policy Statement 

Employees who have been issued university keys are responsible for the security of issued keys and are responsible for the cost of replacement of those keys should they become lost. 

4. Definitions 

Key is defined as any device, physical or electronic used to gain access to university property including vehicles. 

Lost keys are defined as any key or electronic device not in possession of the person they were issued to. (This does not apply to individuals who lent their keys to another Life University employee).

5. Procedures 

Upon request from the employee’s supervisor, Facilities will issue the requested keys to an employee. Employees who no longer require access to a specific area must return the key to Facilities. 

Upon issuance, employees will sign a “key card” acknowledging receipt of the key. Upon returning the key for whatever reason (access no longer needed, separation from the university) Facilities will document the return on the key card.  

Lost key charges will apply based on the type of key that was lost. Loss of a master key will result in considerable financial responsibilities for the individual. 

Employees who are separating from the University are required to return all University keys to the Office of Human Resources no later then 48 hours after leaving campus. Failing to do so will cause the direct deposit to be disabled and require the employee pick up their final paper check from Human resources
