Required Compliance Training Policy HR-26-011

1. Purpose 

Life University is committed to maintaining compliance with federal and state laws, regulations, and institutional requirements that support the University’s educational mission and participation in federal programs. 

The purpose of this policy is to establish clear expectations that all staff and faculty complete required training within specified timelines to ensure compliance, protect the institution, and support a safe, inclusive, and effective learning and working environment. 

 

2. Scope 

This policy applies to all Life University staff and faculty, including full-time, part-time, temporary, and adjunct employees, regardless of department or work location. 

 

3. Policy Statement 

Life University requires all staff and faculty to complete assigned compliance training as communicated by the University.  

 

4. Definitions 

Required Training: 
Any training assigned by Life University that is mandatory for compliance, operational readiness, or continued access to systems and job responsibilities. 

Required training includes, but is not limited to: 

  • Family Educational Rights and Privacy Act (FERPA) 

  • Disability Services / ADA compliance and accommodations 

  • Title IX, HIPAA 

  • Any additional training required to support compliance, safety, risk management, and operational readiness and / or required by your supervisor 

Completion of required training is a condition of employment and an essential job function. Completion is also required to maintain access to University systems and platforms, including but not limited to Blackboard and Colleague. 

Failure to complete required training within established timelines will result in corrective action, up to and including removal of system access, unpaid leave, and separation from employment. 

Training Deadline/Timeframe: 
The completion date established by the University and communicated through official channels. 

Corrective Action: 
Formal employment action taken in response to failure to meet job expectations, which may include documented warnings, unpaid leave, and separation from employment. 

System Access: 
Access to University technology resources necessary for job duties, including Learning Management System (LMS), Student Information Systems (SIS), Electronic Health Records (EHR) email, and other institutional platforms. 

Approved Leave: 
An approved leave of absence (including FMLA) during which the employee is not actively performing work duties. 

 

5. Procedures 

5.1 Assignment and Notification 

  1. Required trainings are assigned by Human Resources and/or appropriate University offices (e.g., Title IX, Disability Services, Compliance, Academic Affairs). 

  1. Employees will receive notification of required trainings and deadlines through official University communication channels. 

5.2 Employee Responsibilities 

  1. Complete all assigned required training by stated deadlines. 

  1. Ensure completion is accurately recorded in the University’s training system. 

  1. Immediately notify their supervisor and Human Resources if barriers to completion arise. 

5.3 Supervisor Responsibilities 

  1. Monitor training completion within their departments. 

  1. Provide reasonable time and access for employees to complete training. 

  1. Partner with Human Resources when non-compliance occurs. 

5.4 Corrective Action Timeline for Failure to Complete Required Training 

Life University requires completion of all assigned training by established deadlines. 

0 Days Overdue (Due Date) 
Training must be completed by the assigned date. 

7 Days Overdue 

If training is not completed within seven (7) calendar days: 

  • Verbal warning (documented by supervisor and/or Human Resources) 

  • Removal of access to University systems (including Blackboard and Colleague) 

  • Placement on unpaid leave until training completion is verified 

14 Days Overdue 

If training remains incomplete after fourteen (14) calendar days: 

  • Separation from employment due to failure to meet a required condition of employment and inability to perform essential job duties 

Corrective documentation will be placed in the employee’s personnel file. 

5.5 Exceptions and Approved Leave 

Employees on approved leave (including FMLA): 

  • Will not be subject to corrective action during leave. 

  • Will have thirty (30) calendar days upon return to complete required training. 

Failure to complete training within this post-return period may result in corrective action up to and including separation. 

5.6 Reinstatement of System Access 

  1. Upon verified completion of training, employees may request reinstatement of system access. 

  1. Access will be restored only after confirmation is documented and approved through appropriate channels. 

5.7 Responsibilities 

Employees (Staff and Faculty) 

Employees are responsible for: 

  • Completing all assigned required training by the published deadlines. 

  • Ensuring training completion is properly recorded in the University’s designated learning platform. 

  • Promptly notifying their supervisor and Human Resources of any barriers to completion (e.g., technical issues or approved leave status). 

Supervisors/Managers 

Supervisors and managers are responsible for: 

  • Monitoring training completion for their direct reports. 

  • Providing reasonable time and support for employees to complete required training. 

  • Escalating non-compliance to Human Resources. 

Human Resources 

Human Resources is responsible for: 

  • Administering this policy and overseeing corrective action processes. 

  • Coordinating required trainings and deadlines with applicable offices. 

  • Supporting tracking, documentation, and enforcement. 

Responsible Compliance Offices (as applicable) 

Designated compliance offices assign required trainings and provide content and regulatory guidance, including but not limited to: 

  • Title IX, HIPAA 

  • Disability Services / ADA Compliance 

  • FERPA-related training 

Other compliance and regulatory training as required

7. Review Cycle
